The Role –Operations Coordinator

Reports to – Head of Logistics and Destinations

We are looking for a very special person to become a key member of our Head Office Operations Team. This is an excellent opportunity for an enthusiastic person who loves dealing with people and has an interest in the logistics of overseas travel. Building an excellent relationship with your allocated client schools, you will deliver your clients’ overseas expeditions, aiming to exceed their expectations year after year. We would prefer previous experience of school overseas expeditions, but full training could be available for the right person. Because of the nature of our business it is important that you are able to function well when multitasking under pressure.

This role is mainly office based, and it is important that you take pride in your excellent administration abilities. In addition you will personally present a pre-departure information evening to parents, teachers and pupils for each of your expeditions (you can expect to manage around 20-25 expeditions per year), usually at the client school on weekday evenings in March May each year. You will also be involved in organising and presenting our leader briefing which usually takes place on one Saturday in the year, and you may pick up/drop off kit or other similar visits. You may also travel abroad to review logistics depending on business need. Languages can be useful.

Our clients expect to deal with you personally throughout their expedition experience and again when back in the UK. You will therefore need to build an excellent on-going personal relationship with your allocated client schools.

Your role is likely to include but not be restricted to:

  • Planning and liaison of all aspects of your client schools’ expeditions on behalf of suppliers, teachers, parents, local education authorities, students and expedition leaders in a timely, efficient and friendly manner
    Ensuring that all expeditions are delivered in the most cost effective manner while using existing company processes
  • Delivery and pre-departure meetings and presentations at your client schools where you will represent the company with your inspirational, friendly and confident personality
    Answering office telephone queries in a friendly but efficient manner
    Updating and producing reports from our school expedition database as required
  • Updating your client school expedition private web pages with individual trip documents and information The role includes a large amount of administration which should be carried out in a timely, efficient and accurate manner
    Becoming a member of our expedition support team duty rota, offering out of hours telephone and/or office expedition support while our trips are abroad, which is generally during school holidays and especially at Easter and Summer which are busy periods. In case of emergencies during this time it is
    important that you do not live more than 45 minutes’ travelling time from the Northleach office.
  • Other tasks related to our business as required

Training and benefits will include:

  • Full training is available for the right person
  • Operations team members should be Gold DofE Assessor qualified. We will provide the required training if necessary
  • The team have shared use of company pool cars and you will require a current clean full driving licence
  • You must have an interest in our itineraries and destination countries. You may carry out fully expensed familiarisation trips depending on current business need
  • Personal CPD plan. FFE has a policy of encouraging all aspects of the outdoors, so this could include working through outdoor qualifications depending on business need

Further Information 

Please note that attitude and team fit are very important in this role. You certainly need a passion for logistics and enjoy dealing with people.

You will be based in a small, friendly office in the Cotswolds. Outside standard office hours you will be asked to carry out tasks such as the presentation of parent information evenings on dates you arrange (usually weekday evenings). You will be asked to work weekends a couple of times a year, for example when our expedition leaders are briefed. There is also a requirement for out of hours phone and/or office expedition support during school holiday periods. Our expeditions operate during all school holidays, especially Easter, Summer and October school breaks, so these times, and the months before, are exceptionally busy, and you may be unable to take annual leave at this time.

Our offices are closed for at least a full week between Christmas and New Year, and you will be required to take some of your annual leave at this time. Starting salary is expected to be £18,000 - £20,000, depending on role ‘fit’. Your performance will be reviewed during the initial 6 months’ probation period. Our office hours are 40 per week, and the office is open 8.30 17.00 Mon–Fri excluding bank holidays, with 30 days’ holiday a year including bank holidays. When trips are not abroad we sometimes leave at 16.00 Fridays. This is a full time role to start immediately.
